END-OF-THE-YEAR CHECKLIST FOR TAKING YOUR FILES WITH YOU

1 - Google accounts are disabled on June 30, unless otherwise notified.

2. Create a personal email address if you don’t already have one

3. If you are the owner of documents that will need to be accessed after your departure, change ownership of those documents to your successor

4-Are you taking any personal documents with you?

  • Yes- Keep reading

  • No- Turn in your device and charger and you are DONE!

5-Google Takeout

  • Use takeout.google.com

  • You will need a personal email account to start this process

  • Don’t transfer what you don’t need/want

  • Only items in My Drive and any folders will be copied

  • If you have any files in the ‘Shared with Me’ drive, you must add those to your drive first in order to take them with you- Follow these STEPS


Using Google Takeout


  1. Log into your D87 account

  2. In another tab, open Google Takeout

  3. Click ‘Deselect All’


  1. Choose the products you want to include in the archive- like Google Drive.  Note:  there are many products listed, but realistically, you will only choose Drive depending on what you want to take with you.

  1. These files can be exported in various formats.  You can choose your preferences by selecting the ‘Multiple formats’ button if you want to change anything.  Select OK with you’re done.


  1. Scroll all the way down to the bottom of the Products page and click ‘Next Step’ at the bottom of the screen.



5. Choose the Destination, Frequency and file type.  

You can add these files directly to your new Drive or have them emailed to you.  I would recommend Export Once with a .zip file.

  1. Send Download Link via Email will send you a link to the email you choose.  From there, you can choose where to save the files.

  2. Add to Drive will send the files directly to your personal Google Drive.  Keep in mind that personal Google accounts are limited to 15 GB.

  3. If your files exceed 2GB, more than one .zip file will be created.

  4. Select ‘Create Export’.


6. Larger archives will take more time to export.  You can close this screen and check your email.  You will need to confirm your authorization of the export by clicking YES.

7. Once the files are ready, you will receive another email.  Save those files to our preferred location.
